How to create an invoice with this tool
- Choose a design – 30 layouts from classic and minimal to bold, elegant and striped, each in three colours. You can switch design at any point and the preview updates instantly.
- Pick your business type – choose from 50 industries (construction, IT, design, consulting, trucking, healthcare and more) to pre-fill typical line items and payment terms, or start blank.
- Enter your business details – your name or company name, address and contact email. These appear in the "From" block at the top of the invoice.
- Add the client – the person or company you are billing goes under "Bill to".
- Set the invoice number and dates – use a unique, sequential number (for example INV-001, INV-002). The due date defaults to 30 days after the invoice date; change it to match your payment terms.
- Add line items – one row per product or service with a quantity and rate. The amount for each line and the subtotal update automatically.
- Apply tax, discounts or shipping if they apply, then add payment instructions in the notes (bank details, PayPal address, accepted methods).
- Download – click "Download PDF / Print" and choose "Save as PDF" in the print dialog. You can also print directly.
Your entries are saved in your browser, so you can come back later, change the invoice number and reuse the same details for the next invoice.
What a professional invoice must include
Whether you are a freelancer, a contractor or a small business owner, a complete invoice protects you if there is ever a dispute and makes it easier for the client to pay quickly. Make sure every invoice contains:
- The word "Invoice" clearly visible at the top
- A unique invoice number
- Your business name and contact details
- The client's name and address
- The invoice date and the payment due date
- An itemized list of what was delivered, with quantities and rates
- Subtotal, tax, discounts and total due
- Payment terms and instructions – how and where to pay, and any late fee policy
In many countries you also need your tax identification number (for example an EIN, VAT number or GST number) if you are registered for sales tax or VAT. Add it to your address block or the notes field.
Tips for getting paid faster
Send the invoice as soon as the work is complete rather than at the end of the month. Keep payment terms short and specific ("Due within 14 days" works better than "Net 30" for small clients). State accepted payment methods and include the exact details so the client does not have to email you for them. Finally, follow up politely the day after the due date – use our late fee calculator if your terms include a late payment charge.
Frequently asked questions
Is this invoice generator really free?
Yes. There is no sign-up, no subscription and no watermark. You can create and download as many invoices as you need.
Where is my invoice data stored?
Only in your own browser (local storage). Nothing is sent to our servers. Clearing your browser data will remove it, so download a PDF copy of every invoice you send.
How do I download the invoice as a PDF?
Click "Download PDF / Print". In the print dialog that opens, set the destination or printer to "Save as PDF" and click Save. This works in Chrome, Edge, Safari and Firefox on desktop and mobile.
Can I add my logo?
Yes. Click "Upload logo" under Your details and choose a PNG, JPG, WebP or SVG file. You can pick small, medium or large size. The logo is saved in your browser and appears on every invoice, quote and receipt you create here.
What invoice number should I use?
Any unique, sequential format works: INV-001, 2026-001 or a client prefix such as ACME-014. Never reuse a number, since accountants and tax authorities use it to identify the document.
