When do you need to issue a receipt?

A receipt is proof that a payment was received. You should issue one whenever a customer pays you, and especially when:

  • The customer pays in cash and has no bank record of the transaction
  • You accept a deposit or partial payment on a larger job
  • The customer needs it for expense claims, tax records or warranty purposes
  • You rent out property, equipment or a room (rent receipts)
  • You sell at markets, fairs or pop-up events without a card terminal

Keeping a copy of every receipt you issue also makes your own bookkeeping far easier at tax time.

What to include on a receipt

A good receipt contains the seller's name and contact details, the customer's name, a unique receipt number, the date of payment, a description of what was paid for, the amount paid, the payment method, and – if the payment was partial – the remaining balance. This generator covers all of those fields and adds a "PAID" stamp automatically.

Receipt vs invoice

An invoice asks for money; a receipt confirms money was received. If you send an invoice and the client pays it, you can either mark the invoice as paid or issue a separate receipt referencing the invoice number. For cash sales where no invoice was sent, the receipt is the only document, so it should list the items sold.

Partial payments

If the customer paid only part of the total, enter the amount they actually paid in the "Amount paid" field. The receipt will show the total, the amount received and the balance still due. Issue a new receipt for each later payment with the same reference number plus a suffix (for example RCP-012-B).

Frequently asked questions

Is a handwritten receipt valid?

Yes, as long as it contains the key details: who paid, who received, how much, what for, when and a reference number. A typed PDF receipt from this tool is simply clearer and easier to keep on file.

How long should I keep copies of receipts?

Tax authorities in most countries require business records to be kept for 3 to 7 years. Download a PDF of every receipt you issue and store it in a dated folder.

Does this receipt maker work on my phone?

Yes. It works in any modern mobile browser. Tap "Download PDF / Print" and use the share or save-to-files option to keep the PDF.

Can I use this for a rent receipt?

Yes. Put the property address in the description line, the rental period (for example "Rent for November 2026") and the amount received.
