What is a cash receipt?

A cash receipt is a written acknowledgment that you received a payment in cash. It records who paid, who received the money, how much was paid, what it was for and when. Because cash leaves no bank statement, card record or app history behind, the receipt is often the only proof that a payment happened at all, for both the payer and the person receiving it.

When do you need one?

  • Small businesses and freelancers who are paid in cash at the door, at a market stall, or after a job: cleaners, gardeners, tutors, photographers, handymen and mobile mechanics.
  • Private sales of furniture, electronics, tools or equipment where the buyer pays cash.
  • Deposits and installments paid in cash toward a larger amount.
  • Reimbursements between friends, roommates, clubs or community groups.
  • Bookkeeping and taxes. Cash income is still income. A numbered receipt for every payment gives you a record to match against your cash book and makes tax time far less stressful.

Why a cash receipt matters more than other receipts

When a customer pays by card or bank transfer, their bank statement already shows the date, amount and who was paid. Cash has none of that. If a customer later says they paid and you have no record, or you say they did not pay and they have no proof, it becomes one person's word against another's. A receipt created at the moment of payment, with a number, date and amount, removes that uncertainty for both sides and gives you a reliable trail for your own accounts.

What to include on a cash receipt

  1. A unique receipt number
  2. The date the cash was received
  3. Your name or business name and contact details ("Received by")
  4. The payer's name ("Received from")
  5. A description of what the payment was for, line by line
  6. The total and the amount actually received in cash
  7. Any balance still owed, if the payment was partial
  8. Tax, if you charge sales tax or VAT
  9. A note such as "Paid in full in cash"

Worked example

Green Lane Yard Care finishes a fall cleanup for a customer, who pays $165 in cash on the spot. The owner creates receipt CR-0042:

DescriptionQtyRateAmount
Lawn mowing and edging1$60.00$60.00
Hedge trimming and green waste removal1$45.00$45.00
Leaf cleanup (hours)2$30.00$60.00
Total paid in cash$165.00

The receipt shows a PAID stamp, the payment date and a zero balance. The owner emails the PDF to the customer and saves a copy in a "2026 receipts" folder for the books.

Tips and common mistakes

  • Write the receipt when the cash changes hands. A receipt issued days later is easier to dispute and easier to forget.
  • Count the cash in front of the payer. Then write the exact amount on the receipt so there is no disagreement later.
  • Never leave the amount blank. Always fill in the amount received, even if it matches the total.
  • Use sequential numbers. Gaps in your numbering make it hard to reconcile your cash takings.
  • Keep copies. Save every PDF. Many tax authorities expect business records to be kept for several years, so keep yours at least that long.
  • Handle partial payments clearly. If someone pays $100 toward a $165 job, enter $100 as the amount paid so the receipt shows $65 outstanding.
  • Do not confuse a receipt with an invoice. An invoice asks for money; a receipt confirms it was received. See invoice vs receipt for the difference. To bill a customer before they pay, use the invoice generator.

How to use the cash receipt generator

  1. Enter your name or business details, and upload a logo if you have one.
  2. Add the payer's name and, optionally, their address, email or phone.
  3. Set the receipt number and payment date.

  5. Enter the amount received, choose from 30 designs, preview, and download the PDF.

You can print the receipt and hand it over, or send the PDF by email or message. For receipts paid by card, transfer or check, the general receipt maker lets you pick any payment method.

Frequently asked questions

Is a cash receipt valid without a signature?

Generally yes. A receipt is evidence of payment, and its value comes from accurate details such as the date, amount, parties and description. You can still sign the printed copy if the payer asks for it.

How long should I keep cash receipts?

Keep them for as long as your tax authority may review your records, which is commonly several years. Saving the PDFs in a dated folder is the easiest way to do this.

Can I issue a cash receipt for a partial payment?

Yes. List the full amount owed as line items, enter the cash actually received as the amount paid, and the receipt will show the remaining balance.

Can I use a currency other than US dollars?

Yes. Choose your currency in the form and every amount on the receipt will be formatted in it.
