What makes a reminder work

  • Put the invoice number and amount in the subject line. Accounts teams search their inbox by invoice number.
  • Make paying effortless. Include a payment link or the exact bank details, and attach the invoice again. Add a payment link on your invoice with the invoice generator and it prints a scan-to-pay QR code.
  • Ask a question. "When can I expect payment?" gets a reply far more often than "Please pay".
  • Escalate gradually. Stay polite in the first reminders – most late payments are an oversight, not a refusal.
  • Give a specific date. From the second reminder on, name the date you need payment by.

Late fees and final notices

Only mention late fees or interest if they were in the terms the client agreed to – usually on your quote, contract or the invoice itself. Work out the amount with the late fee calculator, and check local rules on maximum interest. If a final notice doesn't work, the usual next steps are a phone call, a formal letter of demand, a collection agency or a small-claims court, depending on the amount and where you are.

Prevent late payments in the first place

Agree payment terms before you start, send the invoice the day the work is done, keep terms short (14 days beats 30 for small clients), and ask for a deposit on large projects. Our guide on how to ask for payment politely has a full follow-up plan, and the due date calculator turns terms like Net 30 into an exact date.

Frequently asked questions

How soon after the due date should I send a reminder?

Send a polite reminder one to three days after the due date. Many businesses also send a friendly heads-up a few days before the invoice is due.

How many reminders should I send?

Typically three: a polite reminder shortly after the due date, a firmer second notice about two weeks later, and a final notice after about 45 days. Follow up by phone between emails if you can.

Should I attach the invoice again?

Yes. Re-attaching the invoice saves the client from searching for it and removes an easy excuse for further delay.

Is it rude to send a payment reminder?

No. Reminders are a normal part of business, and most clients appreciate a nudge. Keep the first ones friendly and assume it was an oversight.
