What is a delivery note?
A delivery note (also called a dispatch note or goods received note) travels with a delivery and lists the goods and quantities being handed over. The customer checks the goods against it and signs it, and the signed copy becomes your proof of delivery. A delivery note normally shows no prices – those belong on the invoice.
Delivery note vs packing slip vs invoice
- Delivery note – handed over and signed on delivery; proves what was received and in what condition. Common in B2B, wholesale and construction supplies.
- Packing slip – packed inside a parcel so the recipient can check the contents; usually not signed. Make one with the packing slip generator.
- Invoice – the request for payment, with prices and tax.
What to include
- Your company name and contact details
- The delivery address and contact person
- Delivery note number, delivery date and the customer's order or purchase order number
- Each item's description, SKU and the quantity delivered
- Any items to follow (back-orders), clearly marked
- Signature lines for the driver and for the person receiving the goods
Why the signature matters
If a customer later says goods never arrived or were damaged, a delivery note signed "received in good condition" is the strongest evidence you have. Ask the receiver to print their name as well as sign, and to write any damage or shortage on the note before signing. Many buyers also match the signed delivery note with their purchase order and your invoice before they pay – the "three-way match".

Frequently asked questions
Does a delivery note show prices?
Usually not. A delivery note confirms what was delivered; prices go on the invoice. Leaving prices off also means warehouse staff and drivers do not see commercial terms.
Is a delivery note a legal document?
It is a business record rather than a contract, but a signed delivery note is strong evidence that goods were delivered and accepted, which matters in disputes and for payment.
Who signs the delivery note?
The person delivering the goods and the person receiving them. The receiver should check the goods first and write any damage or shortage on the note before signing.
Can I deliver part of an order?
Yes. List only the items in this delivery and add a note such as 'Balance of 4 desks to follow on 12 November'.
